Transfer team ownership

Every team has one Owner: the person who bought the plan. The Owner is the only role that can manage billing, and the integrations the team runs on are usually authorised under that person's account.

That makes an unplanned ownership change one of the more disruptive things that can happen to a working setup, so it is worth doing deliberately.

Request the transfer

Ownership is changed by the Portant team, and we need the current Owner to confirm it.

Open a support ticket or email contact@portant.co with:

  • The team name.
  • The email address of the current Owner.
  • The email address of the new Owner, who must already be a member of the team.

If the current Owner has already left and cannot confirm, tell us that in the request and we will work out the right verification with you.

After the transfer

The new Owner should work through these, in order. Skipping them is the usual reason workflows break a week or two after a person leaves.

1. Reconnect the integrations

The team's integrations may still be running on the previous Owner's credentials, which will keep working until they expire and then fail quietly.

The new Owner should reconnect each integration the team uses at Settings → Permissions:

2. Check file access

Templates, sources and output folders were created by the previous Owner and live in their Drive or OneDrive. Confirm the team still has access to each, and move anything owned by a departing person before their account is closed. See Share workflows and Change the output folder.

3. Reassign approvals

Someone who is no longer on the team stops receiving approval requests, which leaves documents waiting indefinitely. Check any workflow with a review step and reassign the approver. See Review and approve documents.

4. Check email aliases and sending

Aliases are set per account and do not move with ownership. If workflows send from an alias, set it up again under the new Owner: see Send from aliases.

If emails keep going out from the previous Owner's address after the handover, reconnect HubSpot: stale credentials cause exactly this.
